This Privacy Policy explains how Onivo (“Onivo,” “we,” “us”) collects, uses, discloses, and protects information in connection with our accounts-payable automation platform and website at onivo.ai (the “Service”). By using the Service you agree to this Policy.

1. Information we collect

  • Account & contact information you or your organization provide (name, work email, company, role).
  • Customer content you submit for processing — including invoices, purchase orders, goods-receipt documents, vendor records, and related financial data (“Customer Data”).
  • Usage & device data such as log data, IP address, browser type, and actions taken in the Service.
  • Communications you send us, including demo requests and support messages.

2. How we use information

  • To provide, operate, secure, and improve the Service, including invoice capture, extraction, matching, approval routing, and ERP posting.
  • To communicate with you about your account, notifications, and support.
  • To respond to demo and sales inquiries.
  • To comply with legal obligations and enforce our agreements.

3. How we share information

We do not sell your personal information. We may share information with: (a) service providers and sub-processors who help us operate the Service (e.g. cloud hosting, document processing, email delivery) under confidentiality obligations; (b) ERP and integration providers you choose to connect; (c) authorities where required by law; and (d) parties to a merger or acquisition, subject to this Policy.

4. Customer Data

We process Customer Data on behalf of your organization to deliver the Service. Your organization controls that data and its retention. We handle Customer Data in accordance with our agreement with your organization.

5. Data retention

We retain information for as long as needed to provide the Service and for legitimate business or legal purposes. Processed invoices and related records follow the retention and archival settings configured by your organization.

6. Security

We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access controls, and audit logging. No method of transmission or storage is completely secure.

7. Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information. To exercise these rights, contact us at privacy@onivo.ai. If you are an end user of a customer organization, please direct requests to that organization.

8. Cookies

The Service uses cookies and similar technologies necessary for functionality and, where enabled, analytics to understand usage. You can control cookies through your browser settings.

9. International transfers

We may process information in countries other than your own. Where required, we use appropriate safeguards for such transfers.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the effective date above.
