Privacy Policy
This Privacy Policy explains how PRInnov LLC, the company behind Onivo (“Onivo,” “we,” “us”), collects, uses, discloses, and protects information in connection with our accounts-payable automation platform and website at onivo.ai (the “Service”). By using the Service you agree to this Policy.
1. Information we collect
- Account & contact information you or your organization provide (name, work email, company, role).
- Customer content you submit for processing — including invoices, purchase orders, goods-receipt documents, vendor records, and related financial data (“Customer Data”).
- Usage & device data such as log data, IP address, browser type, and actions taken in the Service.
- Communications you send us, including demo requests and support messages.
2. How we use information
- To provide, operate, secure, and improve the Service, including invoice capture, extraction, matching, approval routing, and ERP posting.
- To communicate with you about your account, notifications, and support.
- To respond to demo and sales inquiries.
- To comply with legal obligations and enforce our agreements.
3. How we share information
We do not sell your personal information. We may share information with: (a) service providers and sub-processors who help us operate the Service (e.g. cloud hosting, document processing, email delivery, and notification delivery for the iPhone app) under confidentiality obligations; (b) ERP and integration providers you choose to connect; (c) authorities where required by law; and (d) parties to a merger or acquisition, subject to this Policy.
4. Customer Data
We process Customer Data on behalf of your organization to deliver the Service. Your organization controls that data and its retention. We handle Customer Data in accordance with our agreement with your organization.
5. The Onivo AP iPhone app
The Onivo AP app for iPhone brings the Service to your organization's users on their phones. In addition to the information above:
- Notifications. If you allow notifications, we store a notification token for your phone with your account. When an invoice is waiting for your approval, the notification shows the vendor's name and the invoice number — never an amount — and is delivered through Expo, our notification-delivery provider, and Apple's Push Notification service. Signing out of the app removes the token.
- Camera and photos. The app uses the camera, or a photo you choose from your library, only when you photograph or pick an invoice to upload. Those images go to your organization's account and are handled as Customer Data.
- Face ID, Touch ID and passcode. The app can ask for Face ID, Touch ID or your passcode to open it and to confirm an approval. iOS performs that check on your phone; Onivo never receives your face, fingerprint or passcode, only whether the check succeeded.
- Staying signed in. If you turn it on, the app keeps a sign-in credential in your phone's Keychain, behind the same lock, until you sign out or your password changes.
- No tracking. The app does not track you across other companies' apps or websites, shows no advertising, and contains no third-party analytics.
- Accounts. Accounts are created and removed by your organization's administrator. To have your account or its personal information deleted, ask your administrator or write to privacy@onivo.ai.
6. Data retention
We retain information for as long as needed to provide the Service and for legitimate business or legal purposes. Processed invoices and related records follow the retention and archival settings configured by your organization.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access controls, and audit logging. No method of transmission or storage is completely secure.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information. To exercise these rights, contact us at privacy@onivo.ai. If you are an end user of a customer organization, please direct requests to that organization.
9. Cookies
The Service uses cookies and similar technologies necessary for functionality and, where enabled, analytics to understand usage. You can control cookies through your browser settings.
10. International transfers
We may process information in countries other than your own. Where required, we use appropriate safeguards for such transfers.
11. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the effective date above.
